Audio conference call requires the substantial preparations to be a success. The elements of those preparations include:

  • Participant invitation. You have to inform the person by e-mail, phone or fax of the forthcoming event. And you should be 100% sure that the person has received your notice: date, time, dial-in phone number, access code, agenda – you should include all this information so people know what to expect and what to do. For some participants, it might be their first experience of audio conference calling. It would be useful to add some conference call introduction to your notice: how to join the call conference, what hold on mode is, how to ask questions and etc.

  • Conference preparations. Make a detailed agenda of the meeting, but be prepared that something might be changed – it is life and it is sometimes unpredictable. Have clear targets you need to achieve in the process of the audio call conference. In addition to the agenda you need a quiet place where you will feel comfortable to hold the conference call and nobody will disturb you.
